General Information for Vendors/Dealers

We are using the terms Vendor and Dealer to differentiate those selling out of their rooms and those getting tables in the common rooms to sell. Dealers are on “Dealers Row”- the rooms near the con hospitality room. The Vendors are those who rent tables or space in the Vendors rooms.

Dealers/Vendors registration is half normal registration, because we know that you can’t get to our wonderful workshops, and it’s frustrating. We hope this half price will allow you to bring an assistant so you can trade off and at least get to some of them. That’s half whatever the current rate is- so if there’s still room in November it would be $37.50 per person, but $20 before May.

Some people would rather sell out of their hotel rooms, others prefer being in Vendors Rooms with . There are two Vendors rooms of 8 tables each, one on each floor. Let us know if you want to be in the same room with another vendor who’s coming and we’ll try to put you together.

Dealers Row Fee: $25

If you are paying a non-standard registration, for example, if you are a speaker, once we’ve figured out what your total is, you can pay the amount by using the  “donation” button, or PayPal the money directly to payments@changingtimeschangingworlds.org use this button: 

Dealers row Dealers pay for a half price registration and a single $25 fee. (And, of course since you sell from your room, you pay for the room.) When you reserve your room be sure to tell the hotel you are a dealer with CTCW so all the dealers will be clustered around the hospitality suite on the 7th floor. You’ll get the usual (con rate $95) rate. Sadly the UMass Hotel doesn’t offer removing furniture to make space, but you can display as much as you can fit in a room.

A Vendor space includes a table and chairs and the 8′x8′ around it. They are $100 each. The hotel provides a 6 table and 2 chairs. (There is no discount if you bring your own table.) There are some 8 foot tables and half width tables available, but they won’t tell us what until we get there. The space with the table is 8×8 feet, and you may bring whatever displays to use that space anyway you like, but there is no wall display. The hotel requires  vertical displays must be free standing. The rooms have one wall that’s solid windows which provides nice backlighting if you want that.

Our hospitality  is committed to caring for the vendors and speakers and will send food to you at your table; and our merchant liaison will help with other problems like watching your space if you speak, or need to visit the necessary. Please let us know about requirements for electricity, if you want to be on the window side, privacy, or unusual displays.The hotel wants a picture, diagram or clear description of your display.

The Vendors rooms will stay open as long as the vendors want to stay up and open- usually until 11 pm (when the workshops end). You may cover your goods and leave earlier if you like, the open vendors will keep an eye on them, and the rooms will be locked when the last vendor leaves. If you are on Dealers Row, of course you can make your own hours.

Reservations / Payment / Refunds / Contact

To reserve table space, you must contact our Vendor Coordinator to confirm availability. You care counted as reserved when you pay, but let us know if you hope to come so we can save space for you, and we can let you know if there’s a cancellation.  All checks are to be made out to “Changing Times-Changing Worlds”. We welcome vendors who also want to do workshops, (please read the page for presenters).

Refunds will be made in full up to September 1, 2011; in half from then to October 15, and from October 16 on, there will be no refunds unless you have a dire emergency and we have a waiting list.

Cross Sales

There may be several vendors selling similar product to what you carry. We’ll try our best to keep a variety in terms of what the vendors sell. This is why it’s so important to fill out the application clearly and completely in terms of what product you will bring. However, we cannot promise or guarantee that you will be the only vendor selling a certain product. Let us know if you’d like to be near another vendor you know is coming.
